Executive Assistant

Mechelen, Belgium
As an Executive Assistant, you will support senior stakeholders and ensure the smooth day-to-day operations of the organization. This is a hands-on, senior-level support role combining executive assistance, administration, event coordination, and office management.
You act as a true “jack-of-all-trades”, able to manage multiple priorities, reduce operational workload, and ensure everything runs efficiently behind the scenes.

Responsibilities: 
  • Executive Assistance
    • Manage complex agendas for multiple stakeholders
    • Schedule meetings and ensure logistics (rooms, materials, coordination)
    • Support leadership in day-to-day planning
  • Administration & Mailbox Management
    • Manage shared mailbox and prioritize incoming requests
    • Handle administrative follow-ups (POs, travel, onboarding processes, etc.)
    • Support hiring logistics (equipment, onboarding coordination)
  • Event Coordination
    • Organize and support internal and external events (e.g. company events, team meetings, customer events)
    • Coordinate all practical aspects (logistics, communication, planning)
    • Ensure smooth execution and follow-up
  • Office & Facilities Support
    • Manage office supplies and day-to-day office needs
    • Support facilities topics (badges, deliveries, post handling, vendors, etc.)
    • Ensure a well-functioning and organized workspace
  • Project Support
    • Support ad hoc projects (incl. L&D-related initiatives)
    • Provide administrative and operational assistance across teams
  • Communication
    • Act as central point of contact for internal and external stakeholders
    • Ensure smooth and structured communication flow

Requirements & Qualifications: 
  • 4 to 5 years of proven experience in a similar role as Executive/Management Assistant
  • Experience in a dynamic environment with multiple stakeholders
  • Ability to prioritize, structure, and manage high workload
  • Experience combining administration, coordination, and operational support
 
Must have skills: 
  • Strong organizational and planning skills
  • Ability to manage multiple priorities simultaneously
  • Experience with executive support (agenda management, coordination)
  • Hands-on and proactive mindset
  • Strong communication skills (Dutch & English)
  • Solid knowledge of MS Office 365 (especially Outlook)
  • Ability to work independently and take ownership
  • Flexible mindset (no strict 9-to-5 mentality)

Nice to have skills: 
  • Experience in event organization / coordination
  • Experience in office management / facilities support
  • Exposure to project support or L&D initiatives
  • Familiarity with tools like Copilot or automation tools
  • Experience in a fast-growing or corporate environment

Fixed office days: 
Strong on‑site presence expected

  • English: mandatory
  • Dutch: mandatory
